Provides critical technical and process support for the human resources information system (SAP HCM). Ensures accurate and timely maintenance of employee records (including data retrieval, updates, entry, changes, and corrections) via SAP HCM database, eWorkplace, Change Initiator, and other platforms as required. Provide analysis support of technical issues in order to achieve successful results; e.g. data types, missing information, process errors, etc. Provide functional support via process workflows and preparing any documentation as needed. Responsible for developing, updating, and providing any help documentation for users.


+ Maintain accurate records in the Human Resources Information System (SAP HCM, CI), ensure integrations with Application Tracking system (SuccessFactors) are operational; maintain technical knowledge by completing necessary ongoing system training

+ Monitor, review, and approve integration transactions via the SAP HCM staging table to ensure accuracy of initial Master Data

+ Monitor department PO Box with employee lifecycle records maintenance requests and make appropriate updates in SAP HCM as necessary, leveraging knowledge of unique data requirements

+ Ensure employee records are input into SAP properly, which requires broad knowledge of unique requirements, union implications, and regulatory requirements for roles across the organization

+ Provide support to employees through lifecycle transactions


+ High School diploma or equivalent

+ 3+ Years of administrative experience required

The Administrative Support Job Family is utilized throughout the Company. Typically, employees in this job family are required to operate personal computers, utilize various computer software programs, and demonstrate basic or proficient typing. Employees, depending on the assigned department, may also be required to have completed some college level coursework or to possess local, state or federal licenses and/or certification in order to carry out the assigned job duties.

Nature of Work

The essence of the work that is performed by the Administrative Support Job Family is office support and clerical in nature regardless of the level of difficulty. At the lower level, the work performed will tend to be of a routine nature involving standard clerical, secretarial, office or data entry tasks. As such, the responsibilities can be proficiently performed after a relatively short training period. At this level, the employee(s) could easily move to different functional areas of the Company and successfully perform their routine clerical, secretarial, office or data entry tasks with minimal training. At the higher levels in this job family, the work performed will be of a complex nature involving various functional/specialized disciplines (ie, accounting, land and right of way, finance, human resources, materials management, customer billing, etc) wherein the work responsibilities can only be proficiently performed after a relatively long training/ experience-related time period that may also require successful completion of various college level courses in the functional area and/or specialty. At this level(s), the employee(s) could not easily move to different functional areas of the Company as their specialized knowledge/skills/experience etc, would not normally be applicable.

Essential Functions

Performs administrative support functions and more complex tasks including establishing relative priorities of current and anticipated workload and organizing and conducting assignments according to deadlines. Sets up office systems including file maintenance, correspondence deadlines, and project management for own work. Provides backup phone and customer support. Prepares and composes letters, reports, and correspondence and performs other clerical administrative support duties as directed from time to time. Maintains confidentiality. Performs or establishes procedures for all clerical functions and actions including phones, filing, and general word processing, tracking of information, maintaining logs/spreadsheets, and other similar administrative support. Under general direction, prepares special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other areas of the Company, etc. Ensures that requests for action or information are relayed to appropriate staff members; ensures that information is furnished in a timely manner; decides whether a higher authority should be notified of important or emergency matters. Periodically evaluates process and program effectiveness and takes action to maintain continuous improvement. Follows all safety rules and procedures, and contributes to the safety of co-workers and the general public. Participates as an active administration team member by contributing to program development and organization planning. Performs responsibilities in a manner that clearly shows effective communication and cooperation and that promotes open exchange of information, respect, high ethical standards and professionalism. Maintains work areas in a clean and orderly manner. Regular attendance is expected.
